Privacy Policy

Last updated: October 2026 Cool Mart operates the Cool Mart mobile application (the “App”). This page informs you of our policies regarding the collection, use and disclosure of personal information when you use our App. By using the App, you agree to the collection and use of information in accordance with this policy.

Information we collect

We collect the following information when you use the App:

• Your name — to address you in communications and on your order confirmation.
• Phone number (contact) — so our delivery team can reach you about your order.
• M-PESA phone number — to process payment through Safaricom’s M-PESA STK Push service.
• Delivery address and location coordinates — to calculate delivery distance and fee, and to route the delivery to you.
• Order history — items ordered, order total, delivery status.
• App version and crash information — used to diagnose bugs and improve stability.

Information we do not collect

• We do not access your contacts, photos, camera, microphone, SMS or call logs.
• We do not track your location in the background. Location is accessed only while you are actively choosing a delivery location on the map.
• We do not collect payment card numbers. Payment is handled entirely by M-PESA.
• We do not use advertising SDKs or track you across other apps and websites.
• We do not send push notifications to your device.

How we use your information

• To process and deliver your orders.
• To contact you about your order when needed.
• To improve the App, fix bugs, and add features.

Third parties we share data with

• M-PESA / Safaricom — receives your phone number and order amount to process payment.
• LocationIQ — receives a search query or map coordinates to reverse-geocode your delivery address.
• Our delivery team — receive your name, phone number and delivery address to fulfil the delivery.

We do not sell your personal information to any third party.

Data retention

Order history and associated data are retained for up to 7 years for tax and legal compliance. You can request deletion of your order data at any time (see “Your rights” below).

Your rights

You have the right to:

• Request a copy of the personal information we hold about you.
• Request correction of inaccurate information.
• Request deletion of your data (subject to legal retention requirements for order records).

To exercise any of these rights, email privacy@coolmart.co.ke. We will respond within 2 days.

Children’s privacy

The App is not directed to children under 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us at privacy@coolmart.co.ke and we will delete it.

Data security

All data sent to and from the App uses HTTPS encryption. Data is stored on secured servers. M-PESA payment credentials are never stored on our servers.

Changes to this policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by posting the new policy on this page and updating the “Last updated” date.
